TISE | Project Information Technology - Document Management System (DMS)
Project Details
  • Name:DMS
  • Duration:6 months

Project Description

The project involves design, procure, install, implement a new DMS to improve document storage, organization, retrieval, and collaboration within the company. The current system is outdated and inefficient, leading to wasted time searching for documents and version control issues. The project aimed to address inefficiencies in document storage, retrieval, and collaboration using the outdated legacy system. The implemented solution will enhance accessibility, version control, security, and streamlines document related workflows.
Our consultancy services start from feasibility study and planning, tender preliminary design, detail design, pre-bid, and post-bid tender evaluation, support to contract awards & procurement with clients, project design review after contracts award, and supervision during the installation and implementation of new Document Management System (DMS), pre-commissioning, commissioning until issuance of Preliminary and Final Acceptance Certificates.
Our responsibility is to provide consultancy services for the new Document Management System (DMS) including but not limited to the following:
Our services cover the major work activities of needs assessment study, strategy & planning, evaluate existing IT infrastructure compatibility with potential DMS solutions, develop a request for proposal (RFP) outlining project requirements with potential benefits of a DMS implementation, preliminary and detailed design preparation, pre-bid and post-bid support until contract award, project management, supervision during the installation and implementation for seamless transfer of existing documents, ensuring data integrity and security of DMS system, risk management and mitigation strategies, quality control checks throughout the process, implementing monitoring environmental, health & safety standards and commissioning of the new DMS system and warranty supervision until issuance of the Final Acceptance Certificate.

Challenges encountered by our Clients

Clients can face a variety of challenges throughout an IT project. Here's a list of potential hurdles to consider:

Communication Issues: Misunderstandings between technical teams and clients can occur due to differing technical knowledge. Clear and consistent communication is crucial to manage expectations and avoid project roadblocks.
Lack of Internal Resources: Clients might not have sufficient internal IT staff to effectively participate in the project or manage the new system after implementation. Resourcing the project adequately and planning for post-implementation support are crucial.
Security Concerns: Data security is paramount. Clients may have concerns about data privacy and security risks associated with the new IT system. Choosing reliable vendors, implementing robust security measures, and addressing client concerns proactively are essential.
Vendor Management Challenges: Selecting the right vendor is critical. Clients might encounter issues with vendor performance, missed deadlines, or failure to meet expectations. Careful vendor selection, clear contracts, and effective project management can minimize these risks.
Resistance to Change: Implementing a new IT system can disrupt existing workflows and user habits. Change management strategies and user training are essential to ensure user adoption and minimize resistance.
Integration Issues: The new IT system may need to integrate with existing applications. Compatibility issues and unexpected integration challenges can arise. Thorough planning and testing during the implementation phase can help mitigate these risks.

Offering solutions from inception to completion

Consultant acts as a client's trusted advisor offering solutions from conception to completion. Here's a breakdown of their support:

Pre-Migration Phase:
  • Business Analysis and Gap Assessment: Analyze current e-commerce platform functionalities and identify limitations. Define business goals and desired features for the new platform. Conduct a gap assessment to understand the functionalities missing in the existing system.
  • Vendor Selection and RFP Development: Research leading e-commerce platform providers based on features, scalability, security, and budget considerations. Develop a Request for Proposal (RFP) outlining project requirements and inviting proposals from shortlisted vendors. Evaluate vendor proposals, pricing models, and references to select the best-fit solution.
Migration Planning and Strategy:
  • Data Migration Strategy: Develop a comprehensive plan for migrating product data, customer information, order history, and other critical data to the new platform. Ensure data integrity and security throughout the migration process.
  • System Integration Plan: Identify any existing systems (e.g., payment gateway, inventory management) requiring integration with the new platform. Develop an integration plan to ensure seamless data flow between systems.
  • Testing and QA Strategy: Design a thorough testing plan to ensure the functionality and performance of the new platform before launch. Conduct rigorous Quality Assurance (QA) testing to identify and address any bugs or errors.
Implementation and Migration Phase:
  • Project Management and Coordination: Develop a detailed project plan with timelines, milestones, and resource allocation. Manage communication and collaboration between client teams, vendors, and external resources. Track project progress and proactively address any risks or roadblocks.
  • Data Migration and System Configuration: Oversee the secure migration of data from the old platform to the new one. Configure the new platform according to project specifications and business needs. Integrate the new platform with other relevant business systems (e.g., payment gateway, CRM).
Training and Go-Live Support:
  • User Training and Documentation: Develop user training materials (written guides, video tutorials) on using the new e-commerce platform functionalities. Conduct training sessions for internal teams (marketing, customer service) to ensure proficiency.
  • Go-Live Support and Monitoring: Provide ongoing support during the initial launch phase to address technical issues and user questions. Monitor system performance and user behavior to identify areas for improvement.
Post-Migration Support:
  • Performance Optimization: Analyze usage data and recommend platform optimizations for improved speed, scalability, and user experience. Assist with configuring marketing automation features and analytics tools within the platform.
  • Ongoing Security Maintenance: Recommend security best practices for the new platform and advise on securing user data and transactions. Stay updated on emerging security threats and provide guidance on mitigation strategies.
